You can connect Wild Apricot to ChatGPT through a remote MCP service, or build a workflow that combines Wild Apricot with an AI service through tools such as Make or Zapier. These routes serve different jobs: asking a question in a chat, running a repeatable workflow, and editing a website each require the appropriate tools and permissions.
This guide explains those choices and the setup for TamedApricot’s hosted Wild Apricot MCP. Start with a read-only task that you can check against Wild Apricot before allowing changes.
Choose the connection around the work
MCP gives an assistant a defined set of tools it can call. A workflow service runs the steps you configure around a trigger or schedule. Neither automatically understands your organization’s renewal policy or knows which changes your board has approved.
TamedApricot hosted MCP
Good starting point
Ask about supported Wild Apricot records and request supported actions from a compatible assistant.
What to check
Your AI client’s remote MCP support, selected Wild Apricot account, read-only setting and available tools.
Make with an AI service
Good starting point
Run a defined sequence when a record changes or on an agreed schedule.
What to check
The actual modules, field mappings, AI-provider charges, retries and review step. An OpenAI module is not the same as connecting the ChatGPT app.
Zapier workflows or MCP
Good starting point
Connect supported WildApricot actions with other apps, or expose selected actions to an assistant.
What to check
The specific actions available, account permissions and applicable plan limits.
TamedApricot local companion
Good starting point
Work on configured website content through a compatible local AI client and signed-in Chrome.
What to check
Separate installation and browser setup. Adding the hosted connection in ChatGPT does not install the companion.
Check the accounts and access first
You need authority to connect the Wild Apricot website, a TamedApricot account with an eligible subscription, and an AI app that supports the required remote MCP connection. Wild Apricot, TamedApricot and the AI app have separate subscriptions and limits.
ChatGPT availability depends on your plan, workspace, role, region and interface. Read and write support can differ. Confirm the custom MCP option and required permissions in your own account before subscribing for that use; a successful setup in one account does not establish availability in every account.
Keep the Wild Apricot API key in the authenticated TamedApricot portal. Do not paste it into an AI conversation. A read-only service setting controls actions through this connection; it does not reduce the underlying key’s permissions wherever else that key is used.
Connect TamedApricot’s hosted MCP
The hosted business tools do not require you to install Node.js or run a local server. Use the current connection instructions in the customer portal; ChatGPT’s labels and workspace controls may change.
01 / Create your TamedApricot account
Verify your email, review the service terms and complete the subscription flow. Open the customer portal once access is active.
02 / Connect the correct Wild Apricot website
Create and save the authorized application in Wild Apricot, then enter its API key in the portal’s connection form. Select the intended account and turn on read-only mode for the first reporting task.
03 / Add the remote connection in ChatGPT
In ChatGPT’s Plugins area, use Add custom MCP server when available. Enter https://app.tamedapricot.com/mcp and select OAuth. Follow the portal’s instructions for the discovered authentication settings, including offline_access when configuring refresh access.
04 / Review and authorize the connection
Complete TamedApricot sign-in and review the requested access. Install the resulting custom plugin, start a new chat, and select it with @ or the available tool selector.
05 / Confirm the connection before requesting records
Ask which account is connected and whether read-only access is enabled. Compare the account with the website you intend to use. Stop if the account or access mode is wrong.
Start with a small, checkable question
An account check establishes the connection. A useful reporting test must also show that the assistant used the right records, filters and date range. Begin with a question you can independently verify in the Wild Apricot admin area.
Example prompt — a proposed read-only task
“Confirm my connected Wild Apricot account and read-only status. List the upcoming events from 1 November through 30 November 2026 in the account’s timezone. Retrieve all matching results, show each event ID and start date, and say whether retrieval is complete. Do not change records or send anything.”
What to expect
A dated event list with record IDs, the filters used and a completeness statement. An incomplete response should say what remains to be retrieved instead of presenting a partial list as the full total.
Illustrative workflow; this exact prompt is not a published customer result.
TamedApricot’s hosted tools return continuation information when more records may exist. Larger lists can need multiple calls. Ask for complete retrieval and check a few returned records, including one near a date boundary. An empty result, a permission error and an unfinished query are different outcomes.
Understand what authorizes a change
Supported write tools can change real Wild Apricot records. Their availability depends on the Wild Apricot application, the service connection and the access granted to the AI client. For reporting, leave the service connection in read-only mode.
TamedApricot validates a proposed write and requires a confirmation tied to that operation and payload. That technical check is not an independent human-approval screen. Review behavior also depends on the assistant and its permissions. If staff must approve every change, configure and test that approval step rather than assuming it exists.
For an approved update, identify the exact record and fields, review the proposed values, then read the saved record again. If a request is interrupted, inspect the operation outcome and the affected record before retrying. Repeating an uncertain action can create an unintended second change.
Example instruction for a controlled update
“Find the contact I specify and show its ID and current phone number. Prepare a change to that phone field only, then stop for my review. After I approve, apply that exact change and read the contact again to confirm the saved value.”
What to expect
A reviewed proposal followed, only when authorized, by a saved-value check. This is a workflow instruction; verify that your selected client enforces the review behavior you need.
Illustrative instruction; no customer record was changed for this guide.
Know where the hosted connection stops
The hosted service works with supported business API resources. Website editing uses TamedApricot’s separate local companion with a compatible local client and your signed-in Chrome browser. Its configured Content and Custom HTML workflows are distinct from its guidance for native gadgets. Installing a remote ChatGPT connection does not give it control of your desktop.
API coverage is also different from everything visible in the Wild Apricot admin interface. Check the particular operation before promising an integration. Limits, pagination and permissions still apply, and a read-only connection can still return private data to the assistant. Request only the fields the task needs and review your organization’s AI data settings.
An MCP connection alone does not schedule a weekly report or monitor renewals continuously. A recurring process needs a separately configured runner, trigger or scheduling feature, with an owner who checks failures and changes in the underlying data.
What has been verified, and what to test next
On 11 October 2026, TamedApricot’s staging acceptance recorded ChatGPT web sign-in, connection-status and selected-account reads, reconnection after a page reload, access renewal and revocation. Those checks establish that connection path. They do not certify every business operation, every ChatGPT plan, or website editing through ChatGPT.
Before relying on a new workflow, test its actual records and permissions in the intended account. For a report, compare its totals with the underlying records. For an authorized change, verify the saved result. Keep the test narrow enough that a staff member can explain what happened.
Common questions
Can ChatGPT connect directly to Wild Apricot?
It can use an authorized remote MCP service that exposes supported Wild Apricot tools. You must configure the service and authorize the connection; typing a request in an unconnected chat does not give it access to your account.
Will this work with my ChatGPT plan?
Check the current custom MCP options in your account and your workspace’s rules. Availability and write support vary. Confirm the required connection and action type before purchasing for that use.
Does read-only mean the AI cannot see member data?
No. It prevents supported writes through that connection. Authorized reads can still return member data to the assistant, so limit the fields requested and use an approved AI account.
Should we choose MCP or Make/Zapier?
Start with the task. MCP suits an assistant calling tools during a conversation. A configured workflow suits a repeatable trigger, schedule or transfer between applications. Some organizations need both.
Can this edit our Wild Apricot website from ChatGPT web?
TamedApricot’s website editing uses a separately installed local companion, a compatible local client and signed-in Chrome. The hosted ChatGPT connection supplies the business API tools.
