LESS REPETITIVE ADMIN. MORE TIME FOR MEMBERS.

Wild Apricot AI automation. Built around your work.

We help associations use AI with Wild Apricot to prepare reports, draft follow-ups and connect repetitive tasks across their tools. Start with one workflow, agree on the review steps and keep your team in control.

ONE WORKFLOW TO START WITH

“Who needs a renewal follow-up?”

01 / Use the source records

Check renewal dates, membership status and the relevant payment records in Wild Apricot.

02 / Prepare a useful draft

Group the exceptions and draft a follow-up list your staff can review.

03 / Keep people in control

Agree on who reviews the list and authorizes any message or record change.

Illustrative workflow. The exact steps and supported actions are confirmed during scoping.

PRACTICAL USES FOR AI IN WILD APRICOT

Start with the work your team repeats.

These are examples to scope with us. Each starts with your existing records and a clear definition of what a useful result looks like.

01

Membership and renewal reports

Turn “Which members need attention?” into a reviewable list. Combine agreed membership criteria with current records, flag exceptions and prepare a summary for staff or the board.

Review: check dates, status and paid outcomes before action.

02

Event registration summaries

Bring registration totals, ticket types, attendance and outstanding balances into a useful event summary. Ask follow-up questions without repeatedly rebuilding the same spreadsheet.

Review: agree on the event, reporting period and source fields.

03

Follow-up drafts and handoffs

Prepare a draft message or a task for the right person after an agreed trigger. Connect the steps your team currently repeats between Wild Apricot and other tools.

Review: define recipients, approval and duplicate prevention.

Native automation, connected workflows or an AI assistant?

The right route depends on the task. Wild Apricot already handles many routine membership and event messages. AI is useful when the work needs interpretation, a draft or a conversational way to ask questions.

Keep native features native.

Keep native features native.

Use Wild Apricot’s built-in renewal notices and automatic emails where they meet the requirement. We first check your current setup so an added workflow does not duplicate an existing one.

Connect repeatable steps with Make or Zapier.

Connect repeatable steps with Make or Zapier.

For a defined trigger and action, we assess the available integration, API or webhook. Add AI only where it helps, and agree on retries, duplicate prevention and who handles exceptions.

Ask questions and use tools through MCP.

Ask questions and use tools through MCP.

Model Context Protocol lets a compatible AI assistant call connected tools. TamedApricot’s Wild Apricot MCP provides supported operations for contacts, memberships, events and business records.

A CLEAR SCOPE BEFORE THE BUILD

You know what runs, what changes and who owns it.

We define the source records, allowed actions, review steps and success checks before implementation. Your proposal covers the build, testing, staff guidance, account ownership and ongoing support. Custom automation is scoped separately from the MCP subscription.

01

Map one useful workflow.

Show us the current steps, the tools involved and the result your team needs. We identify where native settings already solve the problem.

02

Build and test the agreed steps.

Check the normal path, missing information and repeat runs. Human review verifies the outputs and any proposed changes before release.

03

Hand over a workflow your team understands.

Agree on who can edit it, how to pause it, and how errors are reported. Receive practical guidance and clearly defined support terms.

AI for Wild Apricot: practical questions.

Can ChatGPT or Claude work with Wild Apricot?

A compatible AI assistant can use a connected MCP service to call supported Wild Apricot tools. TamedApricot provides a hosted MCP connection; connection options depend on the app and plan. A separate local companion is used for supported website editing.

Will AI automatically change member records?

That depends on the tools and permissions you enable and the action you request. Read-only questions and drafts can be useful starting points. Supported writes change real records, so we define approval and verification steps for your workflow.

Can a workflow run on a schedule?

Scheduled work needs a configured automation runner, trigger or schedule. Connecting an assistant through MCP does not by itself create an unattended process. We scope the schedule, permissions, monitoring and exception handling separately.

Can we keep our existing Make or Zapier workflows?

Yes. We begin by reviewing what already works and where the manual handoffs happen. Any change depends on the available integrations and your agreed scope; a new tool does not require replacing every existing workflow.

What happens to our member data?

We agree on the fields needed, the systems receiving them and the access each connection requires. Review the policies and settings of your selected AI and automation providers. Share no member records, passwords or API keys in the initial inquiry form.

How much does a custom automation project cost?

The quote depends on the workflow, connected systems, review steps, testing and support. Your proposal specifies the fee and third-party subscriptions. The separate Wild Apricot MCP page lists its current subscription and included features.

What are you still doing by hand?

Tell us the task, how often it happens and which tools your staff uses. We’ll discuss what is practical, where AI may help and the scope of a first project.

Independent Wild Apricot services. No commitment to a project when you inquire.
